Job Description

Reservation Coordinator/Support Associate The Reservation Coordinator/Support Associate provides essential administrative support across Thompson Development (Thompson Resorts-The Reef Beach Resort), Cayman Visitor, and Century 21 (Thompson Realty). This role ensures exceptional customer service throughout the entire guest journey—from pre-booking to post-departure—while supporting internal teams with reservation management, property on-boarding, and operational coordination. Position requires a person who is detail-oriented, highly organized, and comfortable working in a fast-paced environment with flexible hours. Key Responsibilities Reservation Coordination

  • Manage all incoming reservation requests via phone, email, and online booking platforms.
  • Confirm, update, and maintain accurate reservation details in the system.
  • Provide guests with information on availability, rates, promotions, and property amenities.
  • Enter special requests, process payments, and ensure all bookings are correctly recorded.
  • Follow up on pending reservations, cancellations, and guest inquiries.
  • Resolve booking issues or concerns promptly and professionally.
  • Maintain up-to-date knowledge of rates, promotions, and property offerings.
  • Manage cancellation process and ensure guest refund issue within the company policy
  • Manage Webrespro system

Support multiple properties managed by Thompson Development through Cayman Rentals, Cayman Visitor, and Century 21.

  • Take reservations within booking systems, ensuring accuracy and payment completion.
  • Assist the team in onboarding new villas and preparing them for listing on booking platforms.
  • Help set rates and contribute to marketing plans for new short-term rental properties.
  • Schedule villa cleanings for guest arrivals and departures.
  • Ensure contracts with new clients are complete and compliant.
  • Assist with marketing programs and promotional initiatives.
  • Work with property owners and real estate agent to support the management and advertising of short-term rental properties.
  • Update rates and information on various booking channels
  • Manage relationships with various booking channels.
  • Assist in managing websites.
  • Maintaining accurate records of reservations and processing any necessary confirmations.
  • Utilizing reservation software and systems to track and confirm bookings.

Manage social media posts and create social media content,

  • Administrative duties as assigned

Qualifications and Experience

  • 3-4 years of experience in a similar role, preferably in tourism or hospitality.
  • Experience with Webrespro, Airbnb, Expedia, and other booking platforms.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and remain calm in high-pressure, fast-paced environments.
  • Proficiency with reservation and CRM software.
  • Must be proficient in Microsoft Office Suite of products, including excel, word, power-point
  • Experience utilizing various marketing software
  • Must have a reliable vehicle and valid driver’s license; ability to meet guests for check-ins at various hours, including evenings and weekends.
  • Ability to travel to the East End on a frequent basis.
  • Flexibility to work weekends, evenings, holidays, and overtime as needed.
