We are seeking a highly motivated and experienced Project & Facilities Coordinator to support the development, completion, and ongoing maintenance of our new animal shelter facility. This role will play a critical part in overseeing the final stages of the shelter fit-out, coordinating contractors and vendors, supporting the process of obtaining the Certificate of Occupancy, and ensuring both the new and current shelter facilities are properly maintained. This is a unique opportunity to contribute to a historic milestone for animal welfare in the Cayman Islands. The successful candidate will work closely with the Board of Directors, shelter leadership, staff, contractors, government agencies, and the wider community to help deliver a safe, functional, and sustainable facility for animals and the people who care for them. The ideal candidate is a self-driven professional with strong construction and facilities management experience in the Cayman Islands, excellent local industry contacts, and a practical, hands-on approach to problem solving. The role is full-time, minimum 40 hours per week. Key Responsibilities Project Coordination – New Shelter Fit-Out Coordinate and support the final stages of the new shelter construction and facility fit-out. Liaise with contractors, suppliers, consultants, and service providers to ensure work is completed on schedule and to required standards. Monitor project progress and identify potential issues, escalating where necessary. Coordinate with the Department of Planning and other relevant government agencies as required to support inspections, approvals, and compliance requirements. Assist with coordination and documentation required for the Certificate of Occupancy process. Work with the Board of Directors and project stakeholders to ensure project goals, timelines, and budgets are supported. Track project-related expenses and ensure invoices and contractor payments are processed in a timely manner. Facilities Management Oversee ongoing maintenance and operational needs of both the new facility and the current shelter. Coordinate repairs, preventative maintenance, and facility improvements as required. Manage relationships with service providers including maintenance contractors, utilities, waste management, and equipment suppliers. Ensure the shelter environment remains safe, functional, and suitable for animals, staff, volunteers, and visitors. Financial & Administrative Coordination Review and process facility-related invoices and payments. Maintain organised records for contracts, service agreements, permits, and project documentation. Assist with budgeting and monitoring of project and facility-related expenditures. Coordinate procurement of materials, equipment, and services required for shelter operations and construction completion. Collaboration & Stakeholder Engagement Work closely with the Board of Directors working groups, shelter management, and operational staff to support facility-related needs. Maintain positive working relationships with contractors, vendors, consultants, and industry professionals. Communicate effectively with staff, volunteers, members of the public, and relevant stakeholders when required. Support the organization's mission and values through collaborative and solution-oriented work practices. General Operational Support Fleet management for shelter vehicles including maintenance and licensing Assist with hands-on tasks when required to support shelter operations and project completion. Identify opportunities to improve facility efficiency, safety, and functionality. Contribute to a positive and team-oriented working environment. Undertake additional duties as required to support the organization during this critical development phase. Qualifications & Experience Minimum of 5 years’ experience in construction, project coordination, or facilities management in the Cayman Islands or elsewhere. Demonstrated experience working in a similar coordination or project support role. Strong understanding of local construction processes, contractors, and regulatory requirements. Established local industry contacts within construction, trades, or facility services is highly desirable. Experience supporting projects through inspections, approvals, or occupancy processes preferred. Graduate of a Construction Management programme, trade programme, or similar field Strong organisational and problem-solving skills with the ability to manage multiple tasks simultaneously. Ability to work independently and self-manage workload while meeting deadlines. Valid Cayman Islands driver’s license and over 25 years of age Reliable vehicle and willingness to travel locally on Grand Cayman to fulfill the responsibilities of the role Physical Requirements Physically fit and able to work in an active environment that may include indoor and outdoor work. Ability to lift and carry up to 55 lbs when required. Willingness to assist with practical, hands-on tasks as needed. Personal Attributes Hard-working, reliable, and highly self-motivated.
