About the Role We are seeking an experienced and reliable Project Coordinator to join our growing team. This role plays a pivotal part in supporting project execution by ensuring safety, timelines, budgets, quality and documentation are on track. You’ll collaborate with the management team and field team to help keep everything running smoothly from start through finish.
Responsibilities
Assist the Project Manager/Construction Manager and project team with the planning, coordination, and execution of construction projects from initiation to completion
Support the development and maintenance of project schedules, task assignments, and resource planning.
Monitor project progress, milestones, and timelines, assisting in ensuring projects remain within schedule and budget.
Coordinate with subcontractors, suppliers, and vendors to support the timely delivery of materials and services.
Facilitate communication between internal teams, contractors, and clients regarding project updates and requirements
Track material orders, site activities, and project costs to assist with budgeting and forecasting
Manage and support procurement processes, including obtaining quotations, preparing purchase orders, and supporting vendor contract administration
Review material specifications, installation instructions, and supplier documentation to support quality assurance and compliance with project requirements
Assist with material management and inventory tracking, including monitoring materials and equipment across project sites and company storage facilities
Conduct site visits and inspections as required to observe project progress and assist in ensuring compliance with quality, safety standards and project specifications
Review and assist in verifying subcontractor and vendor invoices in accordance with contract terms
Maintain organized project documentation, including permits, drawings, contracts, and project correspondence
Assist with project closeout activities, including final inspections, documentation, and warranty records
Prepare and distribute meeting agendas, minutes, change orders, and progress reports as required
Support the implementation of project management processes and operational improvements where applicable
Maintain awareness of construction industry practices, safety standards, and relevant regulations
Provide administrative and coordination support to ensure project objectives and deadlines are achieved
Years of Experience: more than 5 years project coordinator role with a general contractor
Requirements
Bachelor’s degree in Construction Management or related field.
Minimum of 5+ years experience in project coordination role within the construction industry with a general contractor.
Demonstrated knowledge of construction project management principles, scheduling, budgeting, project coordination and industry best practices.
Experience in ground-up construction through to completion/handover, renovations, additions, and fit-outs in high-end residential, commercial, and hospitality construction projects.
Experience coordinating and managing large construction teams on active job sites, including collaboration with multiple trades and subcontractors.
Proven ability to support, coordinate and manage construction projects from initiation through to completion and handover
Proficiency in project management and related software, such as MS Project, Bluebeam Revu, Buildertrend, Microsoft Office Suite, AutoCAD or similar platforms.
Strong organizational, time management, and multitasking skills, with the ability to manage multiple priorities and meet deadlines.
Excellent communication and interpersonal skills, with the ability to collaborate effectively with site teams, subcontractors, and management.
Ability to read and interpret architectural drawings, construction plans and project specifications
Knowledge of construction safety standards and regulatory compliance requirements.
Strong problem-solving and analytical skills, with the ability to proactively address project challenges.
Proficiency in digital tools and AI-assisted workflows in construction processes (such as bidding, procurement, or logistics planning)
Ability to lift materials up to 40 lbs when required.
Valid driver’s license and reliable vehicle required.
