Job Description

Summary: The successful candidate will provide comprehensive administrative and operational support while reporting directly to the Managing Director. This role is responsible for assisting with the efficient day-to-day management of office operations, including accounts receivable, accounts payable, payroll processing, purchase order coordination, and shipment tracking and Customs clearance, as well as inventory control. The position requires proficiency in QuickBooks and other business software systems, as well as strong organizational and communication skills to effectively liaise with clients, suppliers, service providers, and government agencies, including Customs and other regulatory bodies. The candidate will also support the maintenance of a professional office and showroom environment and contribute to general operational duties within a dynamic and fast-paced business setting.

  • Full administrative support across office functions
  • Support the Managing Director with internal and external communications
  • Prepare and edit correspondence, presentations, reports, and memos
  • Management of Accounts Receivable (AR), Accounts Payable (AP), and payroll processing
  • Proficiency in QuickBooks and general business software systems
  • Coordination and processing of purchase orders
  • Scheduling and tracking of shipments from various suppliers
  • Regular correspondence with clients, suppliers, and service providers
  • Liaison with government agencies and systems, including Customs and related regulatory bodies
  • Managing the filing systems, mailing lists, and contacts databases
  • Maintenance of office and showroom presentation in collaboration with team members
  • Support the Managing Director with community outreach relations, including but not limited to attending community-sponsored meetings, participating in community activities and special projects, and attending product markets periodically as a representative of the business.
  • General support duties as required in a fast-paced and evolving work environment
  • Ability to work on own initiative

Qualifications

  • Minimum 5 years of experience as an Administrative Assistant, providing high-level support and working closely with senior leadership and key stakeholders.
  • Strong administrative background with experience in AR, AP, and payroll
  • Proficient in QuickBooks and other operating/business systems
  • Highly organized with strong attention to detail
  • Able to multitask effectively and adapt to changing priorities
  • Excellent communication and customer service skills
  • Ability to market the company through varied social media platforms
  • Reliable, professional, and of good character
  • Willing to go the extra mile when required

Working Hours

  • Mondays to Thursdays 8:30 AM - 5:00 PM
  • Fridays 8:30 AM - 4:00 PM
  • Saturdays 9:00 AM - 3:00 PM
  • The role may occasionally require flexibility beyond standard working hours to meet operational needs.
