Job Description

We are seeking a qualified, highly organized and proactive Administrative Assistant with 5-6 years’ experience to join our fast-growing and dynamic security company. The ideal candidate will thrive in a demanding environment, handle multiple priorities with efficiency, and provide exceptional administrative support to ensure smooth day-to-day operations. Strong communication skills, attention to detail, and proficiency in office software are essential.

The successful candidate will be responsible following but not limited to

  • Manage technical and administrative schedules and appointments
  • Provide administrative support to field technicians
  • Handle communication and correspondence
  • Maintain files and database
  • Assist with business documents, general office tasks and projects
  • Issuing purchase orders to local and foreign suppliers
  • Assist with Inventory management
  • Answering telephone
  • Assist with Customs entry and clearance
  • Run errands
  • Assist with Bookkeeping
  • Assist with Invoicing
  • Liaise with Monitoring Center and data entry
  • Daily review of automated reports
  • Maintain and audit of customer accounts
  • Work order management
  • Assist with work permits and other business renewals

What we’re looking for

  • A minimum of 5-6 years prior experience in an administrative role and similar duties is mandatory
  • A bachelor’s degree in business administration or at least a Diploma in Business Administration is mandatory
  • Excellent organizational and time management skills. Prior experience with task management application is mandatory.
  • Proficiency in Microsoft Office Suites and computer literacy
  • Extensive experience with excel formulars, creating and maintaining excel spreadsheets and office applications
  • Ability to work independently and as part of a team
  • Fast learner and ability to adapt
  • Excellent multitasking skills
  • Excellent communication skills and customer service
  • Prior experience in the service industry and working with a service platform and sensitive data is mandatory
  • Self-motivated and a team player, honest and trustworthy
  • Must be able to drive and hold a valid driver's license
  • Punctual and dependable
  • Flexible and willing to work extra hours or weekends when necessary to meet deadlines and support business operations.
  • Prior experience with inventory control in a service business is a plus
  • Prior experience with billing and work order management is mandatory

Location is in office and will be in George Town Grand Cayman. Working hours are 8:00 a.m. to 5:00 p.m., Monday to Friday, excluding public holidays and some Saturdays. Experienced and qualified applicants are invited to submit their detailed CV and a cover letter. Please note: This is not an entry-level position — prior administrative experience is required. Prior role and experience limited to only receptionist, cashier, sales, or customer service will not meet the qualifications for this position. The candidate will be required to complete three tasks as part of the interview and screening process to demonstrate his or her competency and experience in the administrative assistant field.
