Job Description

Position Summary The Inventory & Procurement Coordinator is responsible for the management, control, and optimization of company inventory and procurement processes to support ongoing service operations and project delivery. This role requires a high level of organization, technical proficiency in inventory management systems, and strong analytical capabilities to ensure efficient stock control, cost management, and operational readiness. Key Responsibilities Inventory Management & Control

  • Maintain accurate, real-time inventory records across all systems and storage locations
  • Manage inventory using software platforms including Simpro and WASP Inventory Management
  • Monitor stock levels, usage trends, and reorder thresholds to ensure continuity of operations
  • Conduct regular stock audits, reconciliations, and variance reporting
  • Implement and maintain inventory control procedures to minimize loss and inefficiencies

Procurement & Supplier Coordination

  • Source, procure, and manage materials, tools, and equipment required for service and project work
  • Obtain and evaluate supplier quotations to ensure cost-effective purchasing decisions
  • Maintain relationships with suppliers and vendors to ensure timely delivery and favorable terms
  • Track purchase orders, deliveries, and backorders to ensure alignment with operational needs

Systems & Reporting

  • Utilize inventory and accounting systems to track materials, costs, and allocations
  • Prepare regular inventory, procurement, and cost analysis reports
  • Analyze data to identify trends, inefficiencies, and cost-saving opportunities
  • Ensure all inventory and procurement data is accurately recorded and maintained

Operational Support

  • Coordinate with field technicians and project teams to ensure materials availability
  • Support project planning by forecasting material requirements and lead times
  • Ensure proper allocation of materials to jobs and accurate job costing

Qualifications & Experience

  • Minimum 3-4 years of experience in inventory management, procurement, or logistics coordination
  • Demonstrated experience using inventory management systems such as Simpro and WASP (or equivalent platforms)
  • Strong proficiency in Microsoft Excel (including data analysis, formulas, and reporting)
  • Working knowledge of the Microsoft 365 Suite (Outlook, Teams, SharePoint, Word, Excel)
  • Experience in construction, electrical, or technical service environments is highly preferred

Must have valid Cayman Driver License Must be able to drive manual transmission Must have forklift certification or working toward it but know how to drive one Must be willing to work late hours based on delivery needs Must be able to lift 50 LBs
