Job Description

We are seeking a seasoned, exceptionally organized and analytically sharp Support Associate to take on a demanding and multifaceted role in driving operational excellence within a dynamic, high-volume environment. This critical position requires a proactive problem-solver capable of navigating complexity to optimize and elevate the full spectrum of day-to-day operational activities. The role demands expert coordination and orchestration of interconnected operational functions, including intricate scheduling across multiple streams, sophisticated inventory optimization, end-to-end logistics management under tight constraints and stringent quality control in variable conditions. The successful candidate will identify inefficiencies in complex workflows, design and implement streamlined processes and deliver measurable improvements in speed, accuracy and cost-effectiveness while maintaining seamless execution under pressure. Key responsibilities include serving as a strategic liaison between cross-functional teams and various departments, aligning operational execution with evolving organizational priorities, mitigating risks, and resolving conflicting priorities in real time. This position is accountable for operational excellence by embedding industry best practices, fostering high-impact collaboration and leading continuous improvement initiatives that drive productivity gains and long-term organizational success in a fast-evolving operational landscape. Salary Range: KYD $1,600.00 – KYD $1,800.00 per month (commensurate with qualifications and experience). Working Hours: Monday – Friday 8:00 AM – 5:00 PM, Saturdays 8:00 AM – 12:00 PM (flexible as needed)

Key Responsibilities

  • Serve as a point of contact for internal and external communications, answering phone calls, responding to emails and handling inquiries professionally.
  • Organizing and scheduling appointments, meetings and conference calls while managing and maintaining complex calendars for multiple staff members.
  • Assist with the onboarding process for new hires, prepare necessary documentation and coordinate orientation sessions.
  • Prepare, proofread and distribute a variety of documents, including reports, memos and correspondence, ensuring accuracy and proper formatting.
  • Develop and maintain physical and digital filing systems to ensure information is organized and easily accessible for retrieval.
  • Proactively track and follow up on all outstanding invoices to ensure accounts remain current, resolving delays swiftly and maintaining maximum collection efficiency.
  • Assist in marketing projects by coordinating timelines, scheduling shoots and events, managing approvals, updating content calendars, tracking budgets and social media posts, ads and other channels to ensure brand consistency.
  • Provide comprehensive support, assisting managers with daily tasks and stepping in to help with any other company initiative or urgent needs as they arise.

Requirements

  • Bachelor’s degree in administrative course, or a related field (essential).
  • Minimum 5 years of proven experience in administrative or operational position, preferably within the construction or interior fit-out industry.
  • Full fluency in English (spoken and written) – additional languages an asset.
  • Proficiency in Microsoft Office packages, with the ability to create and present documentation to the highest standards, knows (QuickBooks and Jobber strongly preferred) and Microsoft Office Suite (especially Excel).
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and interpersonal skills with the ability to interact professionally at all levels.
  • Must be highly organized, detail-oriented and capable of managing multiple tasks simultaneously.
  • Enthusiasm for finding better ways to enhance our business processes and efficiency
  • Proven ability to work independently with minimal supervision, demonstrating self-motivation-initiative and sound judgement.
  • Current legal authorization to work in the Cayman Islands.
