Job Title: People Culture and Development (PCD) Admin istrative Assistant / Receptionist Department : People Culture and Development Reports To: PCD Manager Coordinates with: PCD Managers , PCD team members, visitors, clients, internal departments, external partners, vendors, and callers as required Job Summary – The PCD Administrative Assistant / Receptionist is a full-time dual role responsible for providing professional front desk reception support while also assisting with the administrative needs of the PCD department. The position serves as the first point of contact for visitors, callers, clients, and internal team members, while supporting the PCD Managers and team with documentation, scheduling, records, communication, reporting, and follow -up tasks. The role requires strong customer service, computer skills, organization, confidentiality, attention to detail, and the ability to balance reception duties with PCD administrative support in a timely and professional manner. Job Duties
Serve as the first point of contact by greeting visitors, clients, vendors, and team members in a professional and welcoming manner.
Answer, screen, and direct telephone calls, emails, and general enquiries, ensuring messages are taken accurately and escalated when required.
Maintain the reception area to ensure it is organized, presentable, and aligned with company standards.
Manage deliveries, incoming mail, outgoing mail, and courier arrangements as needed.
Provide administrative support to the PCD Managers and PCD department on a full -time basis.
Coordinate meetings, appointments, calendars, room bookings, follow -up actions, and departmental communications for the PCD Managers and team.
Assist with PCD departmental processes, requests, submissions, approvals, training sessions, events, and operational activities as assigned.
Track deadlines, action items, requests, and deliverables, providing reminders and updates to support timely completion of tasks.
Liaise with internal departments, external partners, clients, vendors, visitors, and callers on behalf of reception and the PCD department as needed.
Handle confidential and sensitive information with discretion and in accordance with company policies and applicable requirements.
Perform other receptionist, administrative, clerical, and assistant duties as required to support reception coverage and the effective operation of the PCD department.
Any other administrative task assigned by a PCD manager
Requirements
Excellent written and verbal English communication skills.
Proven computer skills, including the ability to use Microsoft Office systems , email, calendars, spreadsheets, databases, and other industry -related programs at an intermediate level to support reception and PCD administrative duties.
Ability to follow instructions.
Ability to work independently and be self -motivated.
Exhibit excellent attention to detail and commitment.
Ability to problem solve – be solution oriented.
Ability to work well in a team environment.

Strong customer service and front desk skills, with the ability to greet visitors,
handle calls, respond to enquiries, and represent the department in a professional and welcoming manner.
Ability to multitask, prioritize competing duties, and manage reception responsibilities while completing PCD administrative tasks accurately and on time.
High school diploma or equivalent.
1–2 years’ experience in a receptionist, front desk, administrative assistant, office support, Human Resource department support, or similar role.
Willingness to learn company HRMS system.
