The Optical Receptionist will often be the first point of contact for our patients and customers, creating a welcoming and professional environment. This role includes managing appointments, answering inquiries, and assisting with operations to ensure a smooth workflow in a optical store setting. The candidate must have an understanding of Health Insurance procedures and billing. The candidate should also possess excellent communication skills, attention to detail, and a warm, customer-oriented approach.
Greet patients and customers with a friendly, professional demeanor. Provide information on services, products, and promotions. Address customer inquiries, concerns, and complaints effectively and escalate as necessary.
Schedule and confirm patient appointments using the store’s scheduling system. Send reminders for upcoming appointments and follow up with rescheduling if needed.
Answer phone calls and manage emails related to patient queries and appointment requests. Process insurance claims and verify patient insurance benefits. Manage patient records, ensuring confidentiality and accuracy. Handle billing and payment transactions, including co-pays and invoices.
Assist with inventory management and restocking of frames, lenses, and other optical products. Maintain the cleanliness and organization of the reception and waiting areas. Support opticians and other staff members with administrative tasks as needed.
Guide customers in selecting frames and lenses based on their needs and preferences. Inform customers about ongoing promotions, eyewear care tips, and the benefits of different lens types.
High school diploma or equivalent; additional education or training in office administration or customer service is a plus. Previous experience in a healthcare or optical setting is preferred. Strong interpersonal and communication skills. Proficiency in computer systems, including scheduling software and Microsoft Office. Knowledge of basic insurance procedures is essential. Ability to multitask and work efficiently in a fast-paced environment. Attention to detail and commitment to patient confidentiality.
