Job Description

The Deputy National Director (DND) assists the National Director (ND) in providing strategic leadership, managerial, and administrative oversight for the Special Olympics Cayman Islands (SOCI) program. The DND ensures that all activities align with SOCI and Special Olympics International standards, policies, and mission, fostering an inclusive, respectful, and empowering environment for athletes, volunteers, and the community. Reporting

  • Reports directly to the National Director.
  • Works in close partnership with the SOCI Board of Directors (BOD) and relevant sub-committees to ensure smooth office and program operations.
  • Acts as a liaison between the ND, Board, coaches and stakeholders as required.

Key Responsibilities Leadership & Governance

  • Support the ND in developing and implementing annual and long-range plans in collaboration with the Board.
  • Attend Board meetings and serve in an ex-officio capacity on relevant committees.
  • Support policy and program matters; carry out Board directives as delegated.
  • Collate reports and updates to the Board and stakeholders as required.

Program Management

  • Carry out the day-to-day administrative operations, including correspondence, and record-keeping.
  • Maintain and update databases for athletes, volunteers, coaches, sponsors, and donors.
  • Oversee sports equipment, uniforms, and promotional inventory, collaborating with the ND, coaches, and board members to ensure all items needed for training, events, and competitions are available, and assist in sourcing new items as required.
  • Assist with the planning and execution of training schedules, competitions, team-building events, and travel logistics for local, regional, and international events.
  • Ensure compliance with SOCI and Special Olympics International rules, policies, and procedures.
  • Support the ND in developing and conducting year-round sports training and competitive opportunities for athletes of all abilities.

Financial Oversight

  • Liaise with the Treasurer on financial arrangements, banking, bill payments, and documentation of donations.
  • Issue thank you letters and receipts to donors in a timely manner.
  • Maintain accurate records of financial transactions and sponsorships.

Training, Workshops & Retreats

  • Collaborate with facilitators to prepare materials, book venues, and manage logistics for training, workshops and retreats.
  • Record minutes and follow-up on action points in the absence of the Secretary.
  • Support alignment of trainings and workshops with program goals and objectives.

Public Relations & Community Engagement

  • Assist in preparing quarterly media updates, community calendar notifications, brochures, posters, and newsletters.
  • Promote SOCI and its events through electronic, print, and other media, including live or written interviews.
  • Foster positive relationships with athletes, families, volunteers, and the broader community to enhance program visibility and engagement.

Compliance

  • Ensure all activities comply with SOCI and Special Olympics International policies, General and Sports Rules.
  • Maintain data integrity and confidentiality in all program records and communications.

Qualifications

  • Knowledge of Special Olympics mission, philosophy, and program standards.
  • Strong organizational and administrative skills.
  • Excellent verbal and written communication abilities.
  • Effective interpersonal skills and ability to work collaboratively within a team.
  • Experience in program management, budgeting, and stakeholder engagement.
  • Commitment to inclusion, respect, and empowerment for people with intellectual disabilities.
  • Computer literacy (Word, Excel, PowerPoint, MS Publisher, Outlook, QuickBooks, GMS).
  • Clean Group 3 Driver’s License.
  • Ability to work evenings and weekends to support trainings, events, and board meetings as needed.
