Job Description

We are actively seeking an accomplished Business Administrative Assistant with a strong track record in supporting operational functions within the commercial and residential electrical & construction industry. The ideal candidate will possess extensive experience in facilitating daily business operations, coordinating field technician activities, and delivering comprehensive administrative support, scheduling, compliance, and customer service support. This role is vital to ensuring seamless workflow, regulatory adherence, and effective communication between office and field personnel. The position requires advanced knowledge of industry-specific documentation, including the preparation and management of permits, safety records, and regulatory filings. Candidates must demonstrate proficiency in inspection processes, job costing, material tracking, and technical service scheduling. Familiarity with project management protocols and compliance standards is essential, as is the ability to streamline administrative procedures and maintain meticulous records. Key Responsibilities

  • Efficiently coordinate daily schedules for electrical technicians, including organizing service calls, inspections, and project timelines to maximize productivity and resource allocation.
  • Prepare, review, and manage comprehensive job sheets, purchase orders, quotations, invoices, and all project-related documentation to ensure accuracy and timely processing.
  • Maintain up-to-date compliance records, including permits, safety documents, and regulatory filings, ensuring adherence to industry standards and legal requirements.
  • Monitor and track inventory, materials, tools, and supplier orders, supporting procurement and supply chain management for ongoing projects.
  • Assist with payroll processing, timesheet collection, and preparation of job-costing reports, contributing to accurate financial and operational oversight.
  • Deliver exceptional customer service, providing timely job updates, addressing inquiries, and conducting service follow-ups to enhance client satisfaction.
  • Establish and maintain organized digital and physical filing systems, ensuring secure, accessible, and efficient document management.
  • Support management with a variety of administrative tasks, including preparing reports, facilitating internal communication, and assisting with operational decision-making.

The ideal candidate must be proficient in quickbooks, autocad, fleetmate & Buildxact softwares & microsoft 365 suite.
