Job Description

Job Summary The Assistant Director of Finance acts as a critical financial partner to the executive leadership team. This role is responsible for the integrity of the hotel’s financial position through meticulous general ledger management, strategic budgeting, and proactive cash flow analysis. The successful candidate will drive profitability by identifying cost-saving efficiencies while ensuring 100% compliance with tax regulations and internal audit standards. Core Responsibilities & Duties

  • Financial Reporting & Analysis: Prepare, analyze, and distribute comprehensive reports that summarize and forecast hotel business activity. Monitor trends in income, expenses, and earnings to provide actionable insights for the Area Director of Finance.
  • Budgeting & Forecasting: Lead the preparation of annual operating budgets, rolling monthly forecasts, and long-term Capital Expenditure (CapEx) budgets to ensure strategic alignment with ownership goals.
  • General Ledger & Month-End: Manage the month-end closing process by preparing and posting approved journal entries. Maintain the General Ledger and perform full bank account reconciliations, addressing corrective actions immediately.
  • Cash Management: Oversee daily cash flow, prepare cash flow forecasts, and manage liquidity to meet operational obligations while optimizing interest earnings.
  • Compliance & Tax: Complete all sales, occupancy, and telephone tax returns accurately. Submit filings to the Controller and Area Director of Finance within strict statutory deadlines.
  • Internal Controls & Audit: Conduct regular audits of cashier banks and internal financial processes. Serve as the primary point of contact for retrieving G/L information and documentation for internal and external auditors.
  • Operational Synergy: Partner with the Front Office Manager to resolve discrepancies in income reporting or guest collections. Audit contract labor invoices for accuracy before system entry.
  • Departmental Support: Maintain business continuity by performing tasks for Accounts Payable, Income Audit, or the General Cashier during vacancies or periods of high volume.

Requirements & Qualifications

  • Experience: A minimum of 5 years of progressive experience in hotel accounting, with at least 2 years in a senior supervisory or management capacity.
  • Education: Bachelor’s degree in Accounting, Finance, or a related field (CPA or MBA preferred).
  • Technical Skills: Advanced proficiency in Hotel Property Management Systems (PMS) and robust financial software expertise. Mastery of Microsoft Excel (Pivot tables, V-Lookups, financial modeling) is essential.
  • Analytical Mindset: Exceptional ability to identify operational inefficiencies and implement cost-reduction strategies without compromising service quality.
  • Communication: Strong interpersonal skills to effectively interface with department heads and convey complex financial data to non-finance associates.
  • Detail Orientation: A high degree of accuracy in data entry and financial reconciliation under tight month-end deadlines.
