Job Description

Position Summary The Warranty & Insurance Claims Coordinator is responsible for managing warranty claim submissions to manufacturers and tracking insurance claims submitted by the body shop team. This role ensures claims are properly documented, submitted accurately, followed up on, and monitored through completion. The position works closely with manufacturers, insurance companies, body shop personnel, and internal teams to ensure approvals are received and payments are collected in a timely manner. The ideal candidate is organized, detail-oriented, proactive, and comfortable managing multiple claims while maintaining accurate records and communication throughout the claim process. Key Responsibilities Warranty Claims Administration

  • Prepare and submit warranty claims accurately and within required manufacturer timelines.
  • Review repair orders, supporting documents, photos, and required information to ensure claim completeness.
  • Follow up with manufacturers regarding claim status, approvals, additional requirements, or rejected claims.
  • Maintain detailed records of warranty submissions, approvals, denials, and payments received.
  • Communicate with manufacturers and vendors to resolve warranty-related questions or issues.
  • Ensure warranty claim processes follow manufacturer guidelines and company procedures.

Insurance Claims Tracking & Payment Coordination

  • Track submitted insurance claims from initial submission through final payment.
  • Maintain claim status records and follow up on outstanding insurance claims.
  • Communicate with insurance companies regarding claim updates, approvals, documentation requests, and payment status.
  • Identify delays or issues impacting claim payments and escalate as needed.
  • Confirm insurance payments are received and properly documented.
  • Maintain organized files for insurance claim documentation, correspondence, approvals, and payment records.

Administrative Support

  • Maintain accurate electronic and physical filing systems for warranty and insurance claim documentation.
  • Update claim tracking reports and provide status updates to management as needed.
  • Support communication between the body shop, manufacturers, insurance providers, and internal departments.
  • Assist with resolving documentation gaps or missing information that may delay claim processing.
  • Ensure confidential customer and claim information is handled appropriately.

Qualifications & Requirements

  • High school diploma or equivalent required.
  • Previous experience in warranty administration, insurance claims, automotive service, body shop operations, or a related administrative role preferred.
  • Experience working with manufacturers, insurance companies, or claims processes is an asset.
  • Strong attention to detail and ability to maintain accurate records.
  • Excellent organizational skills with the ability to manage multiple open claims and deadlines.
  • Strong written and verbal communication skills.
  • Ability to follow up consistently and resolve outstanding issues.
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook) and general computer skills.
  • Ability to work independently and collaborate effectively with internal and external teams.

Salary Range KYD $38,000 - $40,000 per annum Benefits in accordance with CI Labour Act. This is a full-time position with a working week of 45 hours.
