Job Description

The Breast Cancer Foundation is seeking applications for the position of Operations Manager. This is a key role responsible for overseeing the day-to-day administrative, operational, and procurement functions of the Foundation, ensuring efficient service delivery, strong governance, and compassionate support for those we serve. Role Overview The Operations Manager will manage daily operations, administration, procurement, and financial processes, and will act as the primary liaison for grant recipients and breast cancer patients receiving assistance from the Foundation. The role includes coordination with third-party service providers, vendor management, process development, and organisational improvement across HR and operational functions. The Operations Manager reports directly to the Chief Administrator and works closely with senior management and the Board. Key Responsibilities

  • Manage all day-to-day administrative, operational, and procurement activities of the Foundation
  • Act as the primary liaison for grant recipients and individuals receiving assistance
  • Maintain accurate records, process grant applications, and arrange disbursement of funds
  • Oversee bookkeeping functions and financial record-keeping
  • Manage procurement processes, including sourcing, purchasing, vendor selection, contract management, and cost control
  • Liaise with and coordinate third-party medical, palliative, and support service providers
  • Develop, implement, and streamline operational, procurement, and HR processes
  • Assist in the development of the operations manual, policies, and procedures
  • Support the preparation of budgets and financial reports for the Board, including procurement-related expenditure
  • Liaise with external auditors and suppliers as required
  • Provide operational support for Awareness and Wellness Programmes and fundraising activities when required

Skills and Experience Required

The successful candidate will demonstrate the following

  • A minimum of five (5) years’ experience in a day-to-day administrative role, preferably within a not-for-profit organisation
  • Full proficiency in Microsoft Office (particularly Excel) and experience with QuickBooks, Xero, and HR management systems (preferably BambooHR)
  • Proven ability to liaise effectively with senior management and Board members, including experience with budget control, procurement oversight, and external auditors
  • A strong passion for working within the not-for-profit sector, with the ability to demonstrate compassion and sensitivity when supporting individuals affected by breast cancer
  • Demonstrated experience in payments processing, procurement, vendor management, and contract negotiation and finalisation with donors, grantees, and fundraising service providers
  • Ability to work independently with minimal supervision, showing initiative and sound judgement
  • Willingness to work flexible and unsociable hours, including weekends, when required
  • Ability to act as an advocate for patients, liaising with medical professionals on their behalf when requested
  • Strong interpersonal skills, with the ability to work compassionately and effectively with people from diverse backgrounds
  • Good character, a clean driving licence, and access to a reliable vehicle

Salary and Benefits

  • Salary range: CI$50,000 – CI$55,000 per annum, dependent on experience and qualifications
  • Pension and health insurance provided in accordance with statutory requirements
