Job Summary: The Board Project Lead plays a critical role in supporting the Board of Directors, who are also active executives within the organisation. This role is responsible for managing and coordinating projects and operations that align with the Board's strategic initiatives, ensuring that departmental and organisational goals are met. The ideal candidate is a detail-oriented, IT-savvy professional with strong project management skills, exceptional judgement, and the ability to track and report on key performance indicators (KPIs). As a champion of communication and workflow efficiency, the Board Project Lead will navigate the complexities of a dynamic environment to help the Board and executive teams achieve success.
a. Lead and manage projects that support the Board's strategic initiatives, ensuring all deliverables are met on time and within scope. b. Coordinate closely with Board members, who also serve as department heads, to plan and execute projects, providing regular updates and reports. c. Utilise Asana and other project management tools to track progress, assign tasks, and ensure that project goals are achieved efficiently.
a. Provide comprehensive administrative and operational support to the Board, including preparing meeting agendas, distributing materials, and recording minutes. b. Facilitate clear and effective communication between the Board, executive team, and department heads, ensuring that directives are accurately conveyed and followed up. c. Assist in preparing board reports and presentations that align with the organisation’s strategic objectives, streamlining efforts to achieve company success.
a. Champion the organisation’s KPIs by supporting teams in setting, tracking, and achieving their goals, particularly through Asana workflows. b. Provide the Board and executive team with data-driven insights to support informed decision-making and strategic planning. c. Identify trends, risks, and opportunities, recommending actions to the Board and executives as necessary to maintain progress toward goals.
a. Serve as a key communication link between the Board members and the Executive and Senior Management Team members to ensure that risks, constraints, and other considerations that may impact the achievement of KPI targets and project milestones are clearly identified and communicated. b. Facilitate the alignment of expectations between the Board and management by enabling a consistent and effective flow of information, reporting, and updates that support both strategic oversight and daily operations. c. Aim to achieve an effective balance of providing the Board with accurate, timely information while supporting management team members to meet their short- and long-term strategic and operational goals.
a. Provide technical support to the Board and executive team, including managing virtual meetings, secure document sharing, and other IT-related tasks. b. Maintain and optimise the use of Asana and other tools to ensure efficient project management and communication. c. Stay updated on new technologies that could enhance Board operations and implement best practices in IT security and confidentiality.
a. Demonstrate flexibility in managing multiple projects and adapting to the ever-changing priorities and needs of the Board and executive team. b. Exercise sound judgement in handling sensitive information and making decisions that impact Board operations and project outcomes. c. Proactively develop solutions to challenges, helping the Board and executive team navigate complex situations and focus on achieving company success.
a. Ensure that all Board activities and projects comply with company policies, Cayman Islands Labour Law, and other relevant regulations. b. Assist in developing and implementing governance policies and procedures, ensuring that Board operations are ethical, compliant, and aligned with organisational goals. c. Manage confidential records and documentation, ensuring that all materials are handled with discretion and in compliance with legal standards.
